The Challenge
Bright Smile Dental was missing 19 calls/week (27% of inbound). Front desk with 2 people couldn't handle check-ins + phones + insurance verification. After-hours calls went to voicemail — lost $8k-$12k/month. New patient follow-up took 4 hours avg, 60% went cold.
Our Approach
We shadowed 30 calls, mapped top 12 intents (insurance Q, booking, emergency, price). Built VAPI voice agent with ElevenLabs voice (warm, professional). Integrated with Dentrix calendar via API + Twilio number. Added SMS fallback: if caller hangs up, instant text 'Sorry we missed you — book here'. Built automation: new call → transcript → Airtable → Slack notification.
